B2B cold email sequences that get replies
Structure multi-step outreach: timing, follow-ups, conditions, and reply-focused copy.
Start with one clear outcome
Each sequence should drive a single call to action: a reply, a meeting, or a referral. Mixed CTAs in step one dilute response rates.
Step 1: relevance over volume
The first email should prove you understand the recipient's role or company in one sentence. Personalization beats long feature lists.
Follow-up timing
Space follow-ups 3-5 business days apart for most B2B buyers. Shorter gaps feel pushy; longer gaps lose thread context. Stop after a respectful final notice.
Conditional steps
Send follow-ups only when prior steps were not opened or did not receive a reply. Avoid emailing people who already engaged positively.
Sequence checklist
- 3-4 steps maximum for most outbound motions.
- Each step adds new information, not just “bumping this up”.
- Plain-language subject lines under 50 characters when possible.
- Unsubscribe or opt-out path is obvious.
- Mailbox daily caps respected across the whole sequence.
