Google Workspace cold email setup
Connect Workspace mailboxes safely: OAuth, app passwords, SMTP limits, and admin considerations.
Prefer OAuth when available
OAuth connections avoid storing long-lived passwords and align with Google's recommended integrations. Use app passwords only where OAuth is unavailable and restrict them to dedicated outreach mailboxes.
Sending limits per user
Workspace accounts have daily recipient limits that differ by edition. Plan sequence volume per mailbox below those caps and distribute across users when scaling outbound.
Admin console awareness
Workspace admins may restrict less secure apps, third-party access, or SMTP relay. Confirm policies with IT before connecting production inboxes used by sales or founders.
From identity and aliases
Send from addresses users actually monitor. Avoid arbitrary From aliases that do not match the authenticated mailbox, because misalignment hurts trust and complicates reply handling.
Workspace launch checklist
- OAuth or SMTP test succeeds from production IP.
- SPF includes Google's sending sources if using relay.
- DKIM enabled for the domain in Admin console.
- Reply monitoring assigned to a named owner.
