Email list hygiene and bounce management
Keep prospect lists clean: validation, duplicates, bounces, and re-import safety.
Why list quality beats list size
Providers penalize senders who repeatedly mail invalid addresses. A smaller, verified list almost always outperforms a large stale export from an old CRM or scraped source.
Validate before enroll
Run format checks and remove role addresses you do not intend to target (e.g. info@, noreply@). Flag risky or catch-all domains when your tooling supports it.
Hard vs soft bounces
Hard bounces indicate permanent failure: remove immediately and never re-enroll. Soft bounces may be temporary; retry once, then suppress if they persist.
Dedupe and merge rules
Deduplicate on email address across imports. When the same person appears with updated title or company, merge into one record instead of creating parallel enrollments.
Ongoing hygiene routine
- Review bounce reports after every campaign week.
- Suppress unsubscribes and negative replies centrally.
- Re-validate lists older than 90 days before large relaunches.
- Segment by engagement and pause cold mail to chronic non-openers.
